General Terms and Conditions (GTC) of Soelva GmbH

1. general information & scope of application

1.1 These General Terms and Conditions (GTC) apply to all services, bookings, and inquiries made via the platform eventrix.events (hereinafter referred to as “Eventrix”) or directly via Soelva GmbH.
1.2 They concern in particular catering services, courses, events, and event organization.
1.3 The platform is operated by Soelva GmbH / Srls, Crispistraße 37, 39100 Bolzano, Italy.
1.4 By using the platform or confirming an offer, the customer accepts these GTC.
1.5 Deviating or supplementary agreements are only effective if they have been confirmed in writing by Soelva GmbH.


2. Description of Services

2.1 Eventrix offers a central system for planning, organizing, and booking events, catering, courses, and accompanying services.
2.2 Soelva GmbH can either perform services itself or in cooperation with external partner companies (vendors).
2.3 For courses or events with external providers (e.g., florists, photographers, musicians, decorators), Soelva GmbH acts exclusively as an intermediary.
2.4 The respective provider (vendor) is solely responsible for the proper execution and quality of these external services.


3. Conclusion of Contract

3.1 With the confirmation of the offer or booking via Eventrix.events, a contract is concluded between the customer and Soelva GmbH, provided that Soelva provides the service itself.
3.2 For mediated services, an independent contract is created between the customer and the respective vendor.
3.3 In these cases, Soelva GmbH assumes no liability for non-performance, delay, defects, or damages caused by the vendor.


4. Prices & Terms of Payment

4.1 All prices are incl. VAT , unless expressly stated otherwise.
4.2 The prices are based on the calculations valid at the time of the offer.
4.3 Price changes may occur if material, personnel, or rental costs change significantly.
4.4 Payment is made by agreement – by bank transfer, online payment, or on site.
4.5 For courses, participation is only bindingly confirmed after receipt of payment.


5. Booking, Deposit & Cancellation

5.1 Bookings are only binding after written confirmation by Soelva GmbH.
5.2 Depending on the type of event, a deposit may be required.
5.3 Cancellations must be made in writing.

  • Up to 14 days before the event: free of charge
  • 13–7 days before the event: 50% of the agreed sum
  • From 6 days before the event: 100% of the total amount
    5.4 Already paid deposits will not be refunded in case of cancellation.

6. Changes & Additional Services

6.1 Changes to the scope of services require written confirmation from both parties.
6.2 Additional services, decoration, technology, drinks, or special requests will be charged separately.
6.3 If the number of people is significantly reduced or increased, the offer will be recalculated accordingly.


7. Delivery & Execution

Catering and event services are provided according to the agreed times and conditions.

Upon delivery of food and beverages, Soelva GmbH guarantees the maintenance of the cold chain until the time of handover.

After handover or buffet setup, the responsibility for hygiene, storage, and consumption transfers to the client.

Leftover food may only be provided with the client’s written declaration of responsibility, due to hygiene reasons.

If beverages are organized or provided by the client, Soelva GmbH will exclusively handle the serving of the available beverages, unless a different written agreement has been made.

For self-provided beverages, Soelva GmbH assumes no responsibility for:

a) Selection, calculation, and quantity planning of beverages

b) Adequate cooling and storage

c) Creation and provision of beverage menus

d) Presentation, mise en place, or decoration of the bar

e) Provision of ice, fruits, herbs, or other bar accessories

Additional services such as beverage concepts, beverage menus, cocktail setup, extended bar service, ice, garnishes, or special presentations are only included upon separate agreement and at an additional cost.

The client is obliged to provide self-organized beverages in a timely manner, adequately chilled, and in appropriate quantities.

Soelva GmbH generally does not serve food or products that have been produced, prepared, or delivered by the client or third parties, unless there is an explicit written agreement.

Soelva GmbH assumes no liability for the quality, hygiene, cold chain, storage, labeling, ingredients, allergens, or possible health consequences of externally produced food or products. The responsibility for these lies exclusively with the respective manufacturer or client.


8. Liability & Responsibility

8.1 Soelva GmbH is only liable for damages caused by gross negligence or intent.
8.2 Liability for indirect damages, loss of profit, data loss, or force majeure is excluded.
8.3 Soelva GmbH is not liable for external services (vendors). In these cases, the respective provider is the sole contractual partner and responsible for quality, execution, and liability.
8.4 The customer undertakes to treat premises, rented objects, and loan goods with care.
Damaged or missing loan goods will be invoiced separately.


9. Participants & House Rules

9.1 In courses and events, participants are obliged to follow the instructions of the organizer.
9.2 No liability is assumed for own brought objects or valuables.
9.3 The organizer is entitled to exclude participants who violate safety or hygiene regulations.


10. Data Protection

10.1 Personal data will be processed exclusively for the processing of bookings, offers, and events.
10.2 A transfer to third parties only takes place if this is necessary for the fulfillment of the contract (e.g., to vendors or payment service providers).

11. Copyrights & Media

11.1 Photos or videos may be taken at events for documentation and marketing purposes.
11.2 By participating, the customer or participant agrees that such recordings may be used for communication purposes by Soelva GmbH, unless a written objection is made.


12. Complaints & Jurisdiction

12.1 Complaints should be sent in writing to info@eventrix.events.
12.2 Italian law applies.
12.3 The place of jurisdiction for all disputes is Bolzano (Italy).


13. Severability Clause

Should a provision of these GTC be or become ineffective, the effectiveness of the remaining provisions remains unaffected.
The ineffective provision will be replaced by a regulation that comes closest to the economic purpose.
